Information and warning messages are now supported in the mobile time sheet. This update addresses the previous issue where the absence of warning and error messages resulted in users not receiving potentially critical information.

Automated jobs can be used to synchronize position to Job Information and position matrix relationships to Job Relationships. The jobs can run once a day.

There are 2 new automated synchronization jobs.

Automated “Position to Job Information” Synchronization Job:

The job keeps the position and Job Information records synchronized. If these records aren’t in sync as of the start dates of the records of the position or in the Job Information, the job triggers a synchronization from position to Job Information for the fields that are defined in the “Position to Job Information” synchronization rule.

Automated “Position Matrix Relationship to Job Relationship” Synchronization Job:

The job helps you keep the position matrix relationships and Job Relationships synchronized . If the position matrix relationships and the Job Relationships aren’t in sync as of the records’ effective dates, the job triggers a synchronization from the position to the Job Relationship.

The Job Relationships are updated as follows:

  • If the position has a matrix relationship type that isn’t present in the incumbent’s job relationship, the job relationship is added.
  • If the same job relationship types exist on the position and the incumbents’ Job Relationships, but the wrong employee is assigned in the Job Relationships, the job relationship is updated.
  • If a job relationship type exists in the Job Relationships of an employee, but it doesn’t exist on the assigned position of the employee, this job relationship is not removed.
  • If a matrix relationship is removed from a position, the corresponding job relationship is removed from the Job Relationships of the position incumbents.
  • If a job relation manager is assigned to a new position in future, and if there is another incumbent assigned to the same position, the employees gets a new job relation manager. If there isn’t another employee assigned to the same position, the job relationship is ended.

Only one Automated “Position to Job Information” Synchronization Job and one Automated “Position Matrix Relationship to Job Relationship” Synchronization Job each can be created.

Offset:

Both jobs consider:

  • Changes to future records on positions.
  • Changes to future records on the Job Information of employees.

You can specify an offset for both jobs. The offset is the number of days into the future until which the job considers changes on positions and Job Information records. You can set it to a value between 0 and 30. If there are no changes within the offset to either Job Information or position, no synchronization takes place.

Error Handling:

For either of the jobs, if an error occurs during synchronization, the system creates an admin alert of type Position Management Synchronization.

Note:

SAP has added this behavior change for 1H 2024 but did not include the release note in the original publication. SAP is adding the synchronization jobs to make it easier for admins to keep important information up to date and to improve data quality. SAP have changed the amount of daily synchronization jobs to one to ensure the accuracy of data in the system.

Email addresses in Employee Central are now validated by default. SAP have removed the Activate Email Validation in scorecard setting that controlled the email address validation from the Company System and Logo Settings page. Whenever there’s a change to email addresses, their formats are automatically checked. This enhancement improves data quality by preventing any invalid email addresses and saves configuration efforts.

Using employee self-service (ESS), it is now possible to generate forms using templates based on absence data stored in the system.
With the Time Form employee self-service (ESS) scenario, an employee can perform the following tasks:

  • Generate and preview the template.
  • Download the forms in PDF format.
  • Email the forms in a PDF format or as an HTML message.

SAP have made this enhancement to support employee self-service (ESS) for generation of the forms.

How it looks now.

You now have access to the Generate Time Forms link in the people profile. Select the link to go to the Generate Time Forms page.

You can now add data to all the mandatory fields on the Generate Time Forms page, such as language and template. Once you add the data, the Template Description, Time Period, and Time Type will be displayed.
