Initiating Onboarding from an Applicant Tracking System
Onboarding can be initiated using:
- SAP SuccessFactors Recruiting
- External Applicant Tracking System
You can integrate your external Applicant Tracking System to Onboarding using OData APIs. The APIs enable you to pass new
hire data from your Applicant Tracking System to Onboarding. A external user record will need to be created in Onboarding and
this is by the “createOnboardee” API in the system.
Initiating Onboarding from SAP SuccessFactors Recruiting
We initiate Onboarding for a candidate in Recruiting from the options of actions that can be done for a candidate at the

Manually Adding a New Hire into Onboarding
SAP SuccessFactors Recruiting requisition helps managers determine the data necessary for the requisition process and the
key players involved in the process. It is the key piece in the hiring of new candidates and manages not only the approvals
process, but also the interview and hiring process
- Onboarding process can be triggered manually or
without a recruiting system. - This functionality lets you manually onboard new
hires when the standard recruiting process doesn’t
apply.

Hiring Manager receives a notification about the new hire starting and Onboarding tasks that are required for completion. The
Manager can select the “Onboarding Dashboard” tile from the “My Team” section to open the Onboarding Dashboard and
track onboarding progress or perform onboarding activities

Hiring Manager can also use the “Prepare for New Hires” tile from the To-Do section to track onboarding progress and
perform onboarding tasks

The example below shows the task “Write Welcome Message.” A task can be completed by selecting the “Start” button and
the system will present the opportunity to complete the task – in this case, write the welcome message. Tasks can be also
assigned to other users/roles through Role Based Permissions

Recommend People
- Very similar to the Assign Buddy task,
you can recommend other employees
as additional resources for the new
hire using the Recommend People
Task. You can choose from
suggestions or search for a specific
employee. - Once you have identified employees,
you also have the ability to send a
personal note to each apart from the
required comment or reason for
recommending them

Schedule Meetings
- You can schedule meetings for a new hire using the Schedule Meetings task.
- The default selected participant will be the user but you can add more participants to the meeting

Mass Completion of Onboarding Tasks
- If an Onboarding task can be completed for multiple new hires, the system will prompt the opportunity once you start the task for one new hire. The system will allow you to select the new hires your would like to perform the task for.
- The example here shows the Schedule Meetings task that can be performed/completed for multiple new hires and with the same hiring manager

Request Equipment
- Request equipment task allows a hiring manager to request specific equipment needed by a new hire
- Multiple equipment can be requested with the use of multiple Request Equipment tasks
- There will be API available behind the equipment request task that allows downstream integrations to ordering systems

Recommended Links
- Recommended Links can be identified by a hiring manager to ensure a new hire is notified of specific web resources he/she may need to focus on during onboarding.
- The Recommended Links appear as one of the Onboarding tiles on the home page of the new hire in SAP SuccessFactors System

Prepare for Day One
- A recommended list of items to bring with new hire can be configured using the Prepare For Day One task.
- It is mandatory for the hiring manager to provide additional notes for the new hire.

Where to go
- The Office/work location for a new hire is identified using the Where to Go task
- It is also mandatory for the hiring manager to provide additional notes for the new hire like instructions on where to park in the office building or transportation options

Set Goals
- With the integration of Goal Management, a hiring manager can set goals for the 30-60-90 day goal plan for new hire
- This goal plan has to be set up in Goal Management for this Set Goals task to function.
